Description of Work

Position provides administrative and clerical support to Civil Engineering Department administrators, faculty and students. Responsibilities include: maintaining Undergraduate and Graduate student records and assisting students and faculty who prepare and submit corresponding paperwork; creating and mailing correspondence between the Department and Civil Engineering students; assisting the Department’s Associate and Graduate Chairs and Registration and Records, Graduate Studies and the Unified Ph.D. program in all matters related to maintenance of Department Undergraduate and Graduate student records; monitoring and tracking all Graduate student applications and fully- and provisionally-admitted Graduate student matriculation; assisting Associate and Graduate Chairs with reports and surveys; assisting with class scheduling and classroom assignments; assisting with scheduling meetings and other department activities and functions by sending invitations and agendas and booking meeting rooms; maintaining Department calendars; coordinating Department social events logistics; providing office support including answering phones, mail collection and distribution and other receptionist duties; and assisting with copying of instructional materials.

Minimum Required Qualifications

Associate’s degree in business administration or closely related field plus two (2) years’ of closely related experience; combination of equivalent education/experience will be considered. Working knowledge of general office practices necessary. Demonstrated proficiency word processing, spreadsheet and presentation software required. . Must have strong interpersonal, organizational, written, and verbal communication skills and the ability to understand and anticipate department needs and prioritize tasks.

Preferred Qualifications

Ideal candidate will have a Bachelor’s degree; professional work experience in a higher education institution; advanced data management skills; ability to multitask and work independently within established procedures and possessing a high level of detail-orientation.
